Send the address, the approximate floor area in square feet or square metres, how often you need cleaning and when the building can be accessed. We reply within one working day and book a free site visit, usually within a few working days. The written specification and the fixed monthly quote follow within two working days of that visit.

What to send us

The more of this you include, the faster the quote comes back and the closer it will be to the final figure.

Floor area. Square feet or square metres, and whether that is the cleanable area or the whole demise. An approximate number from your lease or a floor plan is fine at this stage.

Frequency. How many cleans a week you want, and whether you need evening, early morning or daytime cover. If you are not sure, say what the building’s problem is and we will suggest a pattern.

Floor types. Carpet tile, broadloom, vinyl, safety flooring, lino, engineered timber, polished concrete, stone or terrazzo. Finishes drive both the daily method and the periodic programme more than anything except washroom count.

Washroom count. Number of washroom blocks, cubicles and wash basins. Washrooms take more labour per square metre than any other part of an office, so this figure moves the price significantly.

Occupancy pattern. How many people are in the building and on which days. Hybrid patterns across Greater Manchester have pushed most offices into a Tuesday to Thursday peak, and the cleaning schedule should follow it rather than ignore it.

Out of hours access. Whether there is a concierge, a managing agent, fob or code access, a goods lift to book and a loading bay slot for machinery. Also tell us the earliest and latest times the building will admit a contractor.

Useful extras if you have them: a floor plan, your current specification, the consumables arrangement, the waste streams in the building, and the notice period on your existing contract.

What happens after you send it

Within one working day we reply, ask anything missing and offer dates for a site visit.

At the site visit we walk the whole site with you, measure the cleanable areas, count washrooms and cubicles, check the finishes, look at access, storage, water, power and the waste route, and ask how the space is used through the week. Allow about an hour for a single floor.

Within two working days of the visit you get the written specification and the quote. The specification is a task list with frequencies against it. The quote is one fixed monthly figure with the hours behind it shown, plus separate lines for periodic work such as carpet extraction, internal glazing and hard floor maintenance.

If you appoint us, mobilisation follows. We agree a start date, sort keys, fobs or codes with you and the managing agent, complete any building or site induction, and run the TUPE process where staff transfer from an outgoing contractor. COSHH sheets and the site risk assessment arrive before the first clean.

If you do not, keep the specification. It is written so any contractor can price it, and it will make your tender easier to compare.

Changing contractor mid term

Two things to check before you move. Your notice period, which is often three months and sometimes longer. And whether TUPE applies, which for a cleaning contract it usually does, as a service provision change. Where it applies, the staff assigned to your site transfer to the incoming contractor on their existing terms. The outgoing contractor must supply employee liability information and both parties have duties to inform and consult. How long does a quote take?

We reply to an enquiry within one working day and book the site visit, usually within a few working days. The written specification and the quote follow within two working days of the visit. Larger portfolios and multi site tenders take longer, and we will tell you a date when we confirm the visit.

Do we have to have a site visit?

For anything we are going to clean on contract, yes. A quote produced from a floor area alone is a guess, and guesses get corrected upwards after mobilisation. One off work such as a builders' clean on a straightforward unit can sometimes be priced from drawings and photographs, and we will say so when you ask.

Will you price against our own specification?

Yes. If you already have a specification, send it and we will price that document as written, so your bids are comparable. We will also flag anything in it that we think is under or over specified for the building, with the reasoning, and you can decide whether to change it.

We are mid contract. Is it worth asking now?

Usually yes. Check your notice period first, then use the time to get a site visit and a specification done properly. Most contracts that end badly were priced in a hurry. Having a written specification in hand also improves the conversation with your existing contractor if you would rather fix the current arrangement.

Is the site visit really free?

Yes, and so is the specification that comes out of it. It is yours to keep and to send to other bidders. We ask for an hour on site for a single floor, longer for a multi floor building or a portfolio, and we would rather do it properly than rush a walk round.
